Job Opening details:- Company Name :- Beckman Coulter Diagnostics Position Name :- Executive Assistant to GM – SWA Company Location :- Mumbai, Maharashtra Job Category :  General Category Full Job Description :- Role Description (Primary functions & responsibilities): Company : Beckman Coulter Diagnostics Location : Mumbai Position : Executive Assistant to General Manager Reporting to: Managing Director – South West Asia Works with : Internal stakeholders across all functions including Sales, Customer support, Logistics & Distribution, Procurement, Finance, QRA, Marketing, Commercial Excellence, Legal etc. Internal stakeholders for this position will mirror the stakeholders of the reporting manager (Ex: APAC and HGM leaders) External stakeholders for this position include our clients namely hospitals, laboratories, universities, CROs, Distributors etc. Position Scope and responsibilities: Operational : Managing MD’s Calendar and travel, Setting up client meetings and meeting cadence with reports of MD ( India Leadership team), Expense report compilation of MD, and follow through, Organizing meetings that MD needs to conduct time to time, Organizing offsite meetings as required for the organization as assigned time to time. Managing vendors across hospitality industry for ensuring smooth execution of events as required. Operational scope includes managing CWT/ of relevant travel vendors for travel bookings of MD, and other leaders when meetings and events are organized Strategic: Undertake follow up with stakeholders for business delivery mirroring MD’s cadence for business reviews, DM/VM calls, ensuring data is updated by internal stakeholders before international reviews on dashboard and team’s channel, follow through on having 1-0-1 meetings with employee groups as required by talent management deliverables of MD. Ensuring Engagement survey action meetings are conducted by people managers, follow through and compile update on EES bowlers, Own updating of L2 KPI bowler for timely review and update. Strategic deliverables may vary depending on strategic priorities set for the country from time to time. Essence of strategic scope is to ensure that the EA understands the strategic priorities of MD and ensure providing complete assistance in implementation. Others included in scope: Client engagement, Employee engagement actions including managing employee welfare actions such as assisting with supplies to employees during pandemic (Ex; Masks and PPE’s). Management of vendors and getting best efficiency in pricing for events, Employee welfare purchases, managing petticash, etc. Person Scope: This is an operational position with a good scope and exposure to strategic activities with line of sight that the GM has on the overall South West Asia business. Experience: at least 10+ years experience in similar roles having managed executive position Essential to demonstrate experience in handling confidential data and compliance working along side senior leadership members. Education: Any graduate with relevant exposure to executive management at CXO level. Travel: This position may not require extensive travel. However incumbent need to have flexibility to travel for purposes of organizing meetings, conferences and client programs as needed. The incumbent needs to have the ability to convey, review and edit complex and confiential information clearly and effectively with all key stakeholders in general and with MD’s peer group and reports in particular. Ability to understand MD’s deliverables and ensure smooth assistance on planning and execution of day to day operational aspects and strategic deliverables. Ability to effectively and seamlessly work in cross-functional teams and matrices. A Strategic bent of mind with an ability to see around the corners. A track record of having handled sensitive data and processes would be desirable. Process focus and ability to analyze and develop new work processes to improve efficiency as per team/ client needs Ability to delegate as well as take control depending on the on-ground situation Strong communication skills and ability to converse with senior leaders is a must Exposure to office tools like MS applications, Power BI, is essential.
